Epos Now is a cloud-based POS system sold directly to Australian hospitality and retail venues. It runs on their own branded touchscreen hardware (or compatible Android/Windows devices), connects to Epos Now’s cloud platform, and is designed to be relatively self-installable compared to local-server systems like Idealpos or Impos. That said, “designed to be self-installable” and “correctly set up for a live hospitality service” are two different things.

This guide covers what’s actually involved in a proper Epos Now installation for an Australian hospitality venue.

What you need before installation day

  • Epos Now account created and subscription active — sign up at eposnow.com/au and confirm your subscription tier. Epos Now offers different plans for retail and hospitality — make sure you’re on the right one for your venue type.
  • Epos Now hardware delivered — terminal, card reader, receipt printer, and any other hardware ordered from Epos Now’s store. Allow 5–7 business days for delivery. Don’t schedule installation for the day after you order.
  • Compatible receipt and kitchen printer — Epos Now supports Star Micronics and Epson thermal printers. If you’re ordering your own printers rather than buying through Epos Now, check the hardware compatibility list on their support site.
  • Business-grade router and network switch — not the ISP-supplied router. Epos Now is cloud-dependent; a consumer router that reboots overnight or degrades under load is a direct cause of POS downtime during service.
  • Payment provider confirmed — Epos Now integrates with Tyro, Westpac, and Adyen in Australia. If you’re using integrated payments (recommended), confirm your payment provider and have the terminal on-site for integration setup.
  • Menu built in Epos Now Back Office — complete your menu at eposnow.com before installation day. Categories, items, prices, and modifiers should all be entered and saved. Menu build on the day adds 2–4 hours minimum.
  • KDS hardware on-site (if using) — Epos Now’s Kitchen Display System runs on a compatible Android tablet or their dedicated KDS display. This needs to be physically in the kitchen before configuration begins.

How an Epos Now installation works — step by step

1

Network setup

Business-grade router configured with a dedicated SSID for Epos Now devices, separated from customer Wi-Fi. Static IP reservations set for all printers and the EFTPOS terminal in the router’s DHCP settings. Ethernet cables run to fixed terminal locations where possible. 4G failover configured if applicable.

2

Epos Now terminal setup

Epos Now hardware is unboxed, powered on, and connected to the POS network. The Epos Now application is opened, account signed in, and the device registered to the venue’s Epos Now account. If running Epos Now on a third-party Android or Windows device, the app is downloaded from the Epos Now portal rather than an app store.

3

Printer configuration

Receipt and kitchen printers connected to the network (or via Bluetooth), added in Epos Now Back Office with static IPs assigned and correct print roles configured. For hospitality venues, kitchen printing must be set up with the correct category routing — which items fire to which printer. Test prints sent from every device to every printer before moving on.

4

KDS setup (if applicable)

Epos Now KDS app installed on the kitchen display device, signed into the venue’s Epos Now account, and configured to receive orders from the correct POS terminals. Wired ethernet connection to the KDS device is set up where possible — kitchen environments are hostile to Wi-Fi.

5

Payment integration

Integrated EFTPOS configured through Epos Now Back Office → Payments. For Tyro: Epos Now’s Tyro integration is activated and the terminal paired. For other providers: integration credentials entered and terminal paired. A live test transaction of $0.50 processed from every terminal before sign-off.

6

Staff accounts and training

Staff accounts created in Back Office with correct roles and permissions. A walkthrough for managers: adding items, processing voids and refunds, running end-of-day reports, and syncing data after menu changes. Basic troubleshooting steps — what to do if the printer drops, if the system goes offline, if a payment fails.

7

End-to-end test

A complete test order through every terminal — place an order, check it appears on the KDS (if installed), check the kitchen printer fires, process a payment, print a receipt, and run a test close. Every flow verified before the venue opens to the public.

Realistic installation timeframes

  • Single terminal, receipt printer, no kitchen printing: 2–3 hours
  • 2 terminals, receipt + kitchen printing, integrated EFTPOS: 4–6 hours
  • Multi-terminal venue with KDS, multiple printers, integrated payments: Full day (6–8 hours)
  • New venue with cabling and network infrastructure to install: 1.5 days — separate pre-visit for cabling recommended

Common Epos Now installation mistakes to avoid

  • Not assigning static IPs to printers — the single most common cause of printer failures after Epos Now installation. Takes 10 minutes to do correctly. Prevents hours of troubleshooting later.
  • Mixing POS and customer Wi-Fi on the same network — customer devices cause interference and congestion that drops Epos Now offline during peak service.
  • Building the menu on installation day — use Epos Now Back Office to complete the full menu before the technician arrives. Menu build adds hours to the installation.
  • Skipping the end-to-end test — always verify every printer, every terminal, and payment processing with real transactions before opening. Don’t assume it’s working because setup completed without errors.
  • Ignoring the KDS ethernet option — if you’re using Epos Now KDS in a kitchen, run an ethernet cable. Wi-Fi in a commercial kitchen is unreliable.
⚠️ Epos Now requires active internet to operateUnlike local-server POS systems (Idealpos, Ai-Menu), Epos Now has no meaningful offline mode for hospitality. If your internet connection drops during a busy service, the system will not process transactions until connectivity is restored. A 4G failover router is not optional for any venue where POS downtime during service is unacceptable.

Frequently asked questions

How long does an Epos Now POS installation take?

A single-terminal setup for a counter-service cafe or takeaway — one Epos Now terminal, one receipt printer, card reader — takes 2–3 hours including network setup. A hospitality venue with multiple terminals, a kitchen printer or KDS, and integrated EFTPOS takes 4–6 hours. If cabling for ethernet or a new network switch is needed, allow a full day or a separate pre-visit for infrastructure work.

Can I install Epos Now myself?

Epos Now is designed to be self-installable and many single-terminal venues do set it up without a technician. The most common self-installation failure point is not assigning static IP addresses to printers — which works fine initially but causes printers to drop offline after the first router reboot. For hospitality venues with kitchen printing, KDS, and integrated EFTPOS, professional installation ensures the network and hardware configuration is done correctly from the start.

What internet connection does Epos Now need?

Epos Now requires a stable internet connection to operate — it’s fully cloud-based. A minimum of 25 Mbps stable broadband is recommended for multi-terminal setups. More important than raw speed is consistency and isolation: POS devices should be on a dedicated network separated from customer Wi-Fi. A 4G/5G failover connection is strongly recommended for venues where POS downtime during service is not an option.
