Idealpos installation — what’s involved & what to expect.

Idealpos POS being installed and configured at a Brisbane pub.
Idealpos is one of Australia’s most established hospitality POS platforms, with a strong presence across Queensland pubs, clubs, hotels, and full-service restaurants. It’s a Windows-based, locally-installed system — meaning installation is a proper infrastructure project, not a software download. Here’s what a professional Idealpos installation actually involves.
What you need before installation day
- Idealpos licence confirmed with your reseller — terminal count, modules enabled (stock control, loyalty, reservations), and licence keys all confirmed before the technician arrives.
- Dedicated server PC on-site — a Windows PC dedicated to running the Idealpos server application. This is a separate machine from the POS terminals — spec requirements confirmed with your reseller.
- Business-grade networking hardware — managed switch, business-grade router, and access points. Idealpos is sensitive to network latency; consumer-grade hardware causes intermittent terminal disconnections.
- Ethernet cabling run to all fixed terminal locations — Idealpos workstations should be on wired ethernet, not Wi-Fi.
- All POS terminal hardware on-site — workstation PCs or touchscreen terminals, receipt printers, cash drawers, customer displays.
- Kitchen printers physically in position — network configuration and printer routing require the printers to be in their final locations.
- Menu data in a spreadsheet — categories, items, prices, modifiers, and printer routing. Idealpos’s menu structure is hierarchical and detailed; complete data before installation day makes a significant difference.
- EFTPOS provider confirmed and terminal on-site — Idealpos integrates with Tyro, Linkly, and others. Terminal must be present for integration setup.
How an Idealpos installation works — step by step
Server build & Windows configuration
Clean Windows installation on the dedicated server PC. Unnecessary software removed, updates scheduled for off-hours, Windows Firewall configured for Idealpos communication ports, static IP assigned. Idealpos server software installed and licensed.
Network configuration
Managed switching, dedicated POS routing, and static IP reservations for all devices — server, printers, payment terminals, and workstations. POS and customer Wi-Fi separated. Ethernet cables tested to all terminal locations.
Workstation (terminal) setup
Idealpos client software installed on each terminal, pointed to the server. Workstation-specific settings configured — till assignment, receipt printer, cash drawer, customer display. Each terminal verified to connect reliably before sign-off.
Printer configuration & routing
Kitchen and receipt printers added with static IPs and correct print roles. Every menu department (Mains, Beverages, Desserts, Bar) assigned to the appropriate printer. Test dockets printed from every terminal to every printer.
Menu build in Back Office
Categories, items, prices, modifiers, and special pricing rules built in Idealpos Back Office. For venues with complex menus — multi-course dining, function packages, membership tiers — this is the most time-intensive step.
EFTPOS integration
Linkly (PC-EFTPOS) middleware or direct Tyro integration configured. Live test transaction processed from each terminal. Surcharge configuration set up if applicable.
Reporting & backup configuration
EOD and reporting procedures established. Automated database backups configured to write to an external location nightly — this step is non-negotiable. Backup is verified before handover.
Training & handover
Manager training on daily open/close, common transactions, EOD process, and report access. Documented network map (all IPs, device names, login credentials) left with the venue.
Realistic installation timeframes
- Small venue — 1–2 terminals, basic menu, receipt printing: 1 full day
- Mid-size venue — 3–5 terminals, kitchen printing, EFTPOS: 1.5–2 days
- Large or complex venue — pub/club with multiple sections, membership, function areas, stock control: 3–5 days, often with a separate pre-visit for cabling and server build
Ongoing maintenance after installation
Unlike cloud-based POS systems, Idealpos’s on-premises architecture means the venue is responsible for the health of the server hardware and software. This includes monthly database optimisation, Windows updates managed out of hours, annual hard drive health checks, backup verification, and hardware review for servers more than 4–5 years old. HospoDoc offers ongoing Idealpos maintenance across Brisbane and Southeast Queensland.
