Lightspeed POS installation — what’s involved & what to expect.

Lightspeed Restaurant POS being set up at a Brisbane cafe.
Lightspeed Restaurant is one of the more capable cloud-based POS options for Australian hospitality — but “cloud-based” doesn’t mean “plug in and go.” Getting Lightspeed properly installed across a functioning venue takes preparation, the right hardware, and a network setup that can support it reliably day after day. Here’s what’s actually involved.
What you need before installation day
- Business-grade internet connection — minimum 25 Mbps synchronous. Consumer NBN plans with variable speeds are often insufficient for multi-terminal setups during service.
- Dedicated router and access points — separate POS and customer Wi-Fi. Running everything on one consumer router is the most common cause of Lightspeed dropouts.
- Compatible hardware — iPad (6th generation or later) or equivalent Android. Older hardware will struggle.
- Compatible printers — Star Micronics and Epson are supported. Check Lightspeed’s hardware compatibility list before purchasing.
- Lightspeed account created and subscription active — including merchant approval for Lightspeed Payments, which can take 1–2 business days.
- Menu data ready in a spreadsheet — categories, items, prices, modifiers. Building a menu from scratch on installation day adds 2–4 hours minimum.
How a Lightspeed installation works — step by step
Network setup
Dedicated SSID for POS devices, business-grade routing, static IPs assigned to all printers. This comes first — everything else is built on this foundation.
Lightspeed account & Back Office configuration
Venue details, floor plan, menu categories, modifiers, and printer routing configured in Lightspeed’s web-based Back Office. The most time-intensive step for complex menus.
Hardware setup & printer configuration
Lightspeed app installed on each device, card readers paired, each printer added with a static IP and correct print role. Test docket printed from every printer before moving on.
Payment integration
Lightspeed Payments or third-party EFTPOS (e.g. Tyro) paired and verified with a live test transaction. A “paired” status alone isn’t sufficient — payment must be confirmed end-to-end.
Staff setup & training
Staff profiles, PINs, and permission levels configured. Manager training on EOD reporting, menu changes via Back Office, and basic troubleshooting.
End-to-end test
A complete test order through every terminal — place an order, check kitchen print, process a payment, print a receipt. Every combination verified before the first real customer.
Realistic installation timeframes
- Single terminal, single printer, no kitchen printing: 2–3 hours
- 2–3 terminals, receipt + kitchen printing, integrated EFTPOS: 4–6 hours
- Multi-section venue with bar, kitchen, multiple terminals and printers: Full day (6–8 hours), often with a pre-visit for network and cabling
Common installation mistakes to avoid
- Using the ISP router as the only networking device — not designed for multi-device POS environments
- Not assigning static IPs to printers — the most preventable cause of post-installation printer failures
- Installing on older iPads — Lightspeed requires iPad 6th gen or later; older hardware gets sluggish fast
- Building the menu on installation day — complete Back Office menu setup before the technician arrives
- Skipping end-to-end testing — always verify every printer and payment type before opening service
