Opening a new café in Brisbane?
Here’s your tech checklist.
Most new venue owners spend months on fit-out, menu, and staff — and then set up the tech in the final week before opening. That’s where expensive problems start. Here’s what you actually need, in the order you should think about it.
The tech stack a Brisbane café needs on day one
Not every venue needs the same setup. A takeaway coffee shop has different requirements to a 60-seat brunch restaurant. But there are fundamentals that every venue needs to get right before opening day.
Residential connections are cheap but not built for the uptime a venue needs. Business plans come with priority support and faster fault resolution.
When your main internet drops, your EFTPOS and POS drop with it. A failover router automatically switches to mobile data. Non-negotiable for any venue doing real volume.
ISP lead times in SEQ can stretch to 3–4 weeks. Don’t leave it to the week before opening day.
Your POS, EFTPOS, and printers should never share a network with customer devices. Guest traffic causes interference and can knock your systems offline at peak times.
POS terminals, EFTPOS, and kitchen printers should all have fixed IP addresses. Dynamic addresses change on restart and cause your systems to lose each other — one of the most common causes of opening-week chaos.
Wi-Fi is fine for tablets. Wired ethernet for printers and terminals is far more reliable under load.
Home routers overheat and become unstable after weeks of continuous use. A venue needs hardware built for it.
Hardware takes time to arrive. Menu setup, staff training, and testing all take time. Don’t compress this.
Run through every item, every modifier, every course. Errors on opening day in front of customers are hard to recover from.
At least one full run-through with all front-of-house staff before opening day. Include how to handle a crash or restart.
Know the steps: restart sequence, who to call, how to take manual orders. Every venue needs this, especially in the first few weeks.
A terminal that talks directly to your POS means no manual entry, automatic reconciliation, and no split-bill errors. The time saved across a week of trade is significant.
Set your surcharge rate in both the terminal and the POS before you take your first payment. Fixing it after creates reconciliation headaches.
If your terminal goes down during a lunch rush you need an answer. A second terminal or a phone payment link buys you time.
The printer working in setup mode and the printer working under live service load are two different things. Run 20 test orders through before you open.
Make sure food goes to the kitchen printer and drinks go to the bar. Sounds obvious — this is wrong more often than you’d think on opening day.
You’ll go through more paper than you expect on opening week. Have a full box ready.
Mistakes new Brisbane venues make with their tech setup
Internet installation, POS setup, and staff training all need more time than new venue owners budget for.
Home routers aren’t built for continuous venue use. They overheat, become unstable, and drop everything with them.
Customer devices create interference and can knock your POS offline during a busy Saturday service.
Manual entry on every transaction slows down service and creates end-of-day reconciliation errors.
A printer that works in setup fails under 30 simultaneous orders. Test it hard before opening day.
Every venue will have a system failure at some point. New venues with no plan lose the most when it happens.
