Idealpos is one of Australia’s most established hospitality POS platforms, with a particularly strong presence in Queensland pubs, clubs, and full-service restaurants. Its depth of features is one of its strengths — but that same complexity means more configuration points where a setup can go wrong. Here are the issues HospoDoc technicians see most often.

1. “Cannot connect to server” on startup

Idealpos runs on a client-server architecture. The main application runs on a dedicated server PC — all terminals connect to it. If the server application isn’t running, no terminal can open.

Common Problem
“POS terminals show ‘Cannot connect to server’ on startup”

The Idealpos server service has stopped on the server PC — often after a Windows update, power interruption, or unexpected crash. The hardware may be on and running Windows, but the Idealpos server application itself isn’t active.

How to Fix It
  1. Go to the server PC physically. Look for the Idealpos Server icon in the Windows system tray. If it’s not there, the service has stopped.
  2. Restart it: Start Menu → Idealpos → Idealpos Server → Open. Wait until it shows as “Running” before testing terminals.
  3. If it crashes immediately on startup, check Windows Event Viewer for errors timed to the crash — often reveals a database or licensing issue to resolve first.
  4. Set Idealpos Server to start with Windows: right-click the tray icon → Settings → enable “Start with Windows.”
  5. If the issue occurred after a Windows update, check whether the update changed firewall settings — Idealpos uses specific ports for terminal communication that must remain open.

2. Printers not working after installation

Idealpos has a highly configurable printer routing system. That flexibility also means more settings to get right, and more places where things can silently break.

Common Problem
Bar or kitchen printer not receiving dockets after going live

Either the printer’s IP address has changed, or a print role hasn’t been assigned to the correct menu departments — orders process but don’t print anywhere.

How to Fix It
  1. Back Office → Setup → Printers — check every printer’s IP address. Print a self-test page (hold the feed button) — the IP is on the ticket.
  2. Confirm each printer has the correct “Print To” role and those roles are linked to the relevant menu departments.
  3. Set static IPs for all printers via your router’s DHCP reservation — prevents IP changes after any router reboot.
  4. If a specific terminal’s dockets aren’t printing, check that terminal’s workstation settings — each terminal can have individual printer assignments.
  5. Run a test transaction from each terminal through each printer combination before the first service.

3. Licensing error after hardware change

Common Problem
“Idealpos is showing a licence error after we replaced the server PC”

Idealpos licensing is tied to the server PC’s hardware. A hardware change is detected as a potential unauthorised installation. Your licence is valid — a reactivation step is required.

How to Fix It
  1. Do not attempt to work around the licence error by editing config files — this can permanently invalidate the licence.
  2. Contact Idealpos Support or your reseller with your licence number and details of the hardware change.
  3. Idealpos will issue a reactivation code linked to the new hardware — usually resolved within a business day.
  4. If planning a server upgrade, contact Idealpos before migrating — they can pre-approve the hardware change and minimise downtime.

4. Workstations losing connection to server during service

Common Problem
“POS keeps freezing mid-order — staff have to restart it to reconnect”

Idealpos client-server communication is sensitive to network latency. Consumer-grade networking equipment often causes exactly this symptom in venues with multiple active terminals.

How to Fix It
  1. Connect all POS terminals to the server via wired ethernet — eliminates wireless interference entirely.
  2. Replace unmanaged consumer-grade switches with a managed business-grade switch — eliminates most intermittent network issues.
  3. Check all ethernet cables for physical damage, particularly in kitchen areas where heat and moisture degrade cables over time.
  4. Ensure the server PC has a static IP address — if the server’s IP changes, all terminals lose connection simultaneously.
  5. If Wi-Fi is unavoidable for some terminals, use a dedicated business-grade access point positioned within line of sight.

5. Reports not running or database errors

Common Problem
“End-of-day report is failing or showing incorrect totals”

Database integrity issues in Idealpos often manifest as report errors before they show up as operational problems. If EOD reports have been inconsistent recently, run a database check now.

How to Fix It
  1. Open the Idealpos Server application → run the database maintenance or integrity check tool. Do this outside trading hours.
  2. Check the server PC’s hard drive health — Windows’ built-in disk check tools can identify a failing drive before data is lost.
  3. Ensure the Idealpos database backup is writing to an external location (USB or network) — not just the server’s internal drive. Check that backup files have today’s date.
  4. If report errors persist after a database check, contact Idealpos Support with the specific error message — they may need to run a more thorough repair remotely.

When to call a technician

  • Idealpos server won’t start and the cause isn’t clear from Windows Event Viewer
  • Printers configured correctly in Back Office but still not receiving dockets
  • Terminals keep dropping connection despite network troubleshooting
  • Database errors appearing in reports or the system is slowing significantly
  • Server hardware needs replacing with a clean migration and no data loss
  • New venue installation from scratch — cabling, network, server build, terminal configuration
