Square is one of the most widely used POS platforms in Australian hospitality, particularly in cafes and small restaurants. “Easy to start” doesn’t mean “easy to set up correctly” — Square installations in busy venues regularly hit problems the app’s self-help documentation doesn’t fully address.

Here are the Square POS issues HospoDoc technicians encounter most often across Brisbane and Southeast Queensland, and the fixes.

1. Card reader won’t connect or keeps disconnecting

Square’s card readers connect via Bluetooth (Reader, Terminal) or the Lightning/USB-C jack. Bluetooth pairing is the most common failure point.

Common Problem
“Reader is connected in Bluetooth settings but Square app says no reader found”

The reader was previously paired to a different device and hasn’t been fully reset. It appears paired at the iOS/Android level but Square doesn’t recognise it.

How to Fix It
  1. Remove the reader from your device’s Bluetooth settings entirely — tap “Forget this device,” not just Disconnect.
  2. Hold the Square Reader button for 7 seconds until the light flashes orange — this clears stored device memory.
  3. Open the Square app → More → Settings → Card Readers → tap + to add a new reader.
  4. Complete pairing from within the Square app — never pair through your device’s native Bluetooth settings first.
  5. If pairing drops during service, check for competing Bluetooth connections (headphones, other peripherals) on the same device.

2. Receipt or kitchen printer not printing

Square supports Star Micronics and Epson printers via Ethernet or Bluetooth. Receipt printing and kitchen order printing are configured separately — missing one is the most common setup gap.

Common Problem
Printer shows connected but nothing prints when an order is placed

Square has two separate printer settings: receipts and kitchen orders. Venues often configure one and leave the other unconfigured — resulting in one working and one silent.

How to Fix It
  1. Square app → More → Settings → Hardware → Printers. Check there are separate profiles for Receipts and Kitchen — they need independent configuration.
  2. For network printers: print a self-test page (hold the feed button) to get the current IP. Compare to what’s in Square’s printer settings.
  3. Assign a static IP in your router’s DHCP reservation — stops the IP changing after a reboot.
  4. For Bluetooth printers: the printer must be paired at the iOS level AND configured in the Square app. Both steps are required.
  5. Always run a test print after any change before service.

3. Square goes offline during service

Common Problem
“Square is offline — customers are trying to pay”

Square’s offline mode accepts card payments up to $200 AUD per transaction. Anything above that declines in offline mode regardless of available funds — a Square policy, not a network or card issue.

How to Fix It
  1. Immediate fix: connect the iPad to a 4G mobile hotspot as a backup connection.
  2. Prevention: put POS devices on a dedicated router or network switch, isolated from venue customer Wi-Fi — most dropouts are Wi-Fi congestion, not ISP issues.
  3. Enable automatic offline mode in Square settings so the system transitions smoothly rather than erroring.
  4. Brief staff on the $200 limit so they’re not caught off guard when a high-value transaction declines offline.

4. Floor plan issues (Square for Restaurants)

Common Problem
Tables not appearing correctly, or sections not showing for staff

Square for Restaurants floor plans must be built through Square Dashboard (the web interface), not the app. Changes made in the app may not save or push correctly.

How to Fix It
  1. Always build and edit floor plans through squareup.com/dashboard — not the POS app.
  2. After saving, sync each terminal: Square app → three-line menu → Sync Now.
  3. If a section isn’t visible on a device: Dashboard → Devices → select the device → assign it to the relevant sections.
  4. Ensure all POS devices are on the same network subnet for consistent sync.

5. Menu changes not showing on the POS

Common Problem
“I updated the menu but the new item isn’t on the till”

If Square can’t reach its servers, it serves a cached version of the menu. The POS appears fully operational — the menu just doesn’t reflect recent changes.

How to Fix It
  1. Force a manual sync: Square app → three-line menu → Sync Now. Wait for confirmation before checking.
  2. Fully close the Square app (swipe up from app switcher) and reopen — forces a fresh data load.
  3. Check that the Square app is on the latest version in the App Store or Google Play.
  4. Make menu changes during off-peak hours and sync immediately — don’t discover a sync failure during service.

When to call a technician

  • Network infrastructure causing repeated offline mode — usually a router or access point fault, not a Square issue
  • Multiple printers across kitchen sections not syncing correctly
  • Square not printing correctly on a specific printer model despite correct setup steps
  • Moving from Square to a different POS platform — clean transition without service disruption
