Square POS freezing,
crashing or dropping —
here’s what to do
Square is one of the most common POS systems in Brisbane venues — and when it plays up mid-service, every minute counts. Here’s a complete troubleshooting guide covering every major Square failure mode, in plain language.
What’s actually going wrong?
Square problems fall into a handful of categories. Find yours below and work through the checks.
- Force-close the Square app completely
- Restart the iPad or Android tablet
- Check for a Square app update pending in the App Store
- If frozen during a transaction — check Square Dashboard on another device to see if payment processed before restarting
- Check your iPad storage — Square needs free space to run. Delete unused apps or photos.
- Update Square to the latest version
- Update iPadOS — old iOS versions cause compatibility crashes
- If crashing at the same point every time, it’s likely a specific menu item or modifier — test and isolate it
- Check Wi-Fi connection on the tablet — open Safari and test
- Check whether Square has a live outage at status.squareup.com
- Restart your router — wait 60 seconds before reconnecting
- Forget and rejoin the Wi-Fi network on the tablet
- If it drops at peak times only — your network is struggling under load
- Check Bluetooth is on and the Reader is charged
- Forget the Reader in Bluetooth settings and re-pair
- Try a different Lightning or USB-C port on the tablet
- If using a Square Terminal — check it’s on the same Wi-Fi network as the iPad
- Restart both the tablet and the Reader
- Check the printer is powered on and paper is loaded
- Check the printer is on the same Wi-Fi network as your Square tablet
- In Square settings → Hardware → Printers — check the printer is still listed and connected
- Restart the printer, then restart Square
- If the printer was recently restarted, its IP address may have changed — reconnect it in Square settings
- Both devices must be on the same Wi-Fi network
- Check both are running the same version of Square
- Log out and back in on the device that’s out of sync
- Menu changes made in Square Dashboard can take a few minutes to push — wait and refresh
The restart sequence that fixes most Square problems
Before calling anyone, run through this in order. Restarting in the wrong sequence wastes time.
Double-tap the home button (or swipe up) and swipe the Square app away. Don’t just press home.
Full power off, wait 30 seconds, power back on. Not just a lock screen wake.
Unplug from power, wait 60 seconds, plug back in. Wait for all lights to stabilise before reconnecting devices.
Once the router is fully back up, reconnect the tablet and wait for a stable connection before opening Square.
Run a $0.00 test transaction if possible before service resumes. Confirm the reader connects and the printer fires.
The most common causes of Square problems in Brisbane venues
| What you’re seeing | Most likely cause |
|---|---|
| Drops out at busy times only | Network overloaded — too many devices on the same Wi-FiFix: separate POS network from guest Wi-Fi |
| Printer disconnects after a router restart | Printer picked up a new IP address — Square lost itFix: assign the printer a static IP address |
| Random crashes, no pattern | iPad storage full or iOS out of dateFix: free up storage, update iOS and Square |
| Reader won’t pair | Bluetooth interference or Reader needs firmware updateFix: forget and re-pair; charge the Reader fully |
| Slow to load menu or process orders | Weak Wi-Fi signal at the counterFix: move router closer or add a Wi-Fi access point |
| Works fine then drops every few weeks | Router becoming unstable under continuous loadFix: schedule a weekly router restart or upgrade hardware |
When Square support isn’t enough
Square’s support is entirely remote — phone, chat, or email. That works for account and billing issues. It doesn’t work when the problem is physical: a router that needs configuring, a printer that needs a static IP, a Wi-Fi dead spot at your counter, or a Reader that won’t pair no matter what you try.
Outgrowing Square?
Square works well for simple counter service. But if you’re running table service, multiple terminals, kitchen printers, and online ordering — it starts to show its limits. Recurring connectivity issues, limited kitchen printing options, and transaction fees that add up at volume are the most common reasons Brisbane venues move on.
If you’re at that point, HospoDoc can talk you through what a migration looks like — including Ai-POS, which is built specifically for venues that want the full connected ecosystem.
